How we handle your data

Last updated 13 October 2026

Black Fig AI provides a WhatsApp guest concierge for short-term rentals. This page explains what personal data is involved, why, and what your rights are. It covers two groups of people: visitors to this website, and guests who message a concierge.

Who we are

Black Fig AI is the controller of personal data collected through this website. For guest conversations, the property manager or host whose rental you are staying in decides why your data is used and is the controller; Black Fig AI acts as their processor and handles the data only on their instructions.

You can reach us at [email protected].

Guests using the concierge

If you scanned a QR code at a rental and started a WhatsApp chat, you are talking to an AI assistant, not a person. Here is what that involves.

What we process

Please do not share sensitive information in the chat, such as health details or payment card numbers. The concierge does not need them.

Why we process it

The legal basis is the legitimate interest of your host and of Black Fig AI in providing a helpful, safe guest service. The concierge only offers extras and passes on requests. It never confirms anything that costs money or makes a decision with legal or similarly significant effect on you.

How long we keep it

Conversations are deleted after check-out, and alerts sent to your host are deleted after 30 days. We measure how the service performs with anonymous counts rather than by keeping guest chats. If you want your chat deleted sooner, ask your host or write to us.

Who else sees data

We do not sell personal data. We share it only with:

Some of these providers are based outside the European Economic Area or the United Kingdom. Where that is the case, we rely on safeguards recognised by data protection law, such as the European Commission's Standard Contractual Clauses or an adequacy decision.

Your rights

Under the GDPR and the UK GDPR you can ask to access your data, correct it, delete it, restrict or object to how it is used, and receive a copy in a portable format. For guest chats, you can make the request to your host or to us and we will pass it on and help them respond.

If you are unhappy with how your data is handled, you can complain to your local data protection authority. In the EU that is the authority in the country where you live or work; in the UK it is the Information Commissioner's Office.
